How to reduce no-show appointments

Start free

Take payment at booking and share one link for every client.

To reduce no-show appointments, ask clients to commit when they book (pay in full or upfront), publish a clear cancellation policy, confirm every booking in writing with a calendar invite, remind clients before the session, and make it easy to reschedule instead of skipping. Most no-shows aren't rude. People forget, get double-booked, or can't easily say they need to change.

If you work alone, one empty slot is lost income you can't win back, and it's time you could have given another client. This guide walks through the steps that make the biggest difference for tutors, coaches, trainers, instructors, beauty pros and small studios.

Why clients don't show up

Before fixing it, it helps to know what usually causes it:

  • They forgot. The booking happened in a chat weeks ago and never made it into their calendar.
  • Nothing was at stake. A free, unpaid booking is easy to drop when something else comes up.
  • Changing felt awkward. If the only way to move a session is to message you and explain, some people just don't come.
  • The details were unclear. The time zone, the address or the meeting link got lost in a long thread.

Each step below targets one of these causes.

7 steps to reduce no-shows

  1. Take payment when clients book. Ask for payment at booking for new clients and one-off sessions. Someone who has already paid is far more likely to turn up, and if they don't, you aren't chasing money afterwards.
  2. Write a simple cancellation policy. Pick a cutoff (for example, free changes up to 24 hours before) and say what happens after it: no refund, a late-cancellation fee, or a one-time pass. Keep it to two or three sentences.
  3. Show the policy before and after booking. Clients should see the policy when they book and again on their confirmation. A policy nobody saw is hard to enforce and easy to resent.
  4. Confirm every booking in writing. Send a confirmation with the service, date, time and place or meeting link, plus a calendar file so the session lands in the client's own calendar.
  5. Remind clients before the session. A short reminder the day before catches the people who forgot. Keep it friendly and include the details again.
  6. Make rescheduling easier than skipping. Give clients a link to cancel or ask for a new time before your cutoff, without having to message you. A rescheduled session is still income, and an early cancel lets you fill the slot.
  7. Follow up the same way every time. When someone doesn't show, apply your policy calmly and consistently. Waive it once for a loyal client if you like, but decide that on purpose rather than by default.

A cancellation policy you can copy

Adjust the hours and the fee to suit your business:

"Need to change? You can reschedule or cancel for free up to 24 hours before your session using the link in your confirmation. Cancellations within 24 hours, or missed sessions, are charged at 50% of the session price. Thanks for understanding: your booked time is reserved just for you."

Whatever you choose, tell new clients before their first session, and apply it to everyone.

Should you charge a no-show fee?

A fee works best as a reason to cancel early, not as a penalty you hope to collect. If clients pay when they book, you rarely need a separate fee at all: a missed session is already paid for, and your policy just says whether it can be moved.

If you prefer clients to pay after the session or on a monthly invoice, a late-cancellation fee written into your policy gives you a fair, agreed amount to add, instead of an awkward conversation.

How Appty helps you reduce no-shows

Appty gives you one booking link, getappty.com/yourname, and handles the parts above that usually get lost in messages:

  • Pay at booking. Connect Stripe and clients pay by card when they book. You can still offer pay later, pay at venue, e-transfer or monthly invoice for regular clients you trust.
  • Your cancellation policy, built in. Set how many hours before a session clients can cancel for free, and choose whether late cancels are allowed with a fee as a percentage of the session price. Clients see the policy on the page where they manage their booking.
  • Confirmation with a calendar file. Every booking gets an email confirmation with the session details and a calendar file, so it goes straight into the client's calendar.
  • Easy changes. The confirmation includes a link where clients can cancel within your policy or request a new time, which you approve. No login and no app.
  • Approval when you want it. Turn on Require my approval for a service, and you review each request before it's confirmed.
  • Group class reminders and no-shows. Group class attendees get a reminder about 24 hours before class. After class, you can mark a no-show and choose full price, a no-show fee, or waive it.

Frequently asked questions

What is the best way to reduce no-show appointments?
Ask clients to pay when they book, share a clear cancellation policy, confirm each booking with a calendar invite, send a reminder before the session, and give clients an easy way to cancel or move before your cutoff.
How much notice should a cancellation policy require?
Many solo providers use 24 hours, and some use 48 hours for longer or higher-priced sessions. Choose a cutoff that gives you a realistic chance to fill the slot, and use the same one for everyone.
Is it okay to charge clients for a no-show?
Yes, as long as the client agreed to your policy before booking. Say the fee or refund rule clearly up front, show it again in the confirmation, and apply it consistently.
Does taking payment upfront reduce no-shows?
It usually helps, because clients who have already paid have a reason to show up or reschedule. It also means you aren't chasing payment for a session that didn't happen.
Can clients change their booking on Appty?
Yes. The confirmation email includes a link where clients can cancel within your cancellation policy or request a new time for you to approve, with no app and no account to create.
