How to book group classes

To book group classes as a tutor, coach or instructor, create each class with a clear capacity, share one public link, let clients claim a named spot (or join a waitlist when it is full), take payment the way you already work, and run the day from a roster—without asking anyone to download an app. The best setups bump the waitlist when a spot opens, keep paid clients in their seats, and sit on the same booking page as your one-to-one sessions.

If you run workshops, small-group tutoring, fitness classes or kids' sessions, the hard part is rarely teaching. It is chasing DMs for "is there a spot?", keeping a headcount and collecting payment before the start. Online group booking turns that into one link and a live roster.

What you need to take group bookings well

A shared Google Sheet or a chat thread breaks down once more than a few people want in. Look for:

  • A hard capacity. The page should stop taking new booked spots when the class is full, and put the next people on a waitlist instead of overbooking you.
  • A roster with names. You need to see who is in, who is waiting for payment and who is on the waitlist—by the person attending, not only by an email.
  • One link for the class. Clients open a single address, see the time, price and spots left, and book. The same class can also show on your public booking page with your other upcoming groups.
  • Payment that matches the class. Card when they book, pay at the venue, or let them choose. When you offer e-transfer, that can book the spot and leave the amount owed until you mark it paid.
  • A waitlist that moves. When someone leaves or you raise capacity, the next person should be offered the seat automatically.
  • A way to confirm unpaid seats. Asking unpaid holders to RSVP by a deadline, and releasing no-shows for the waitlist, keeps your headcount honest—while paid clients keep their seats.
  • No client app. Parents and first-time clients will drop off if they have to create an account just to reserve a spot.

How to set up booking for a group class

  1. Create the class with a real capacity. Name the class, set how many minutes it runs, how many spots you have and when it starts. Choose a one-off date or a weekly series with the number of sessions you need.
  2. Choose how clients pay. Pick card payment when they book, pay at the venue, or both so each client can choose. Set the price (and any extra currencies you use).
  3. Add where you meet. Put the place or online details on the class. On Appty, that information goes to people who booked—in their confirmation and on their spot page—not to everyone browsing the public link.
  4. Share the class link. Copy the public link for that class, or share your main booking page where upcoming classes appear. Send it in WhatsApp, email, your bio or a flyer.
  5. Watch the roster and waitlist. As people book, they show on the roster with status and payment. When the class is full, new requests join the waitlist. You can also add a client yourself; if the class is already full, they go on the waitlist the same way.
  6. Fill open spots from the waitlist. When a spot opens, the next person is offered it. Card payers get a link to pay; pay-at-venue and free spots can be booked straight away. Held seats stay until they pay or confirm, or until you remove them—they do not vanish on a timer.
  7. Confirm attendance before the start. For unpaid holders, send an RSVP-by-deadline ask so they confirm they are coming; if they miss it, the seat can release for the waitlist. Paid and free seats keep their place. On the day, clients can check in from their spot page, or you can mark the roster yourself.

Tips that keep group classes fuller with less chasing

  • Put the link where people already look. Your Instagram bio, WhatsApp status and booking page beat another DM thread.
  • Name who is attending. A parent booking two children should put each child's name on their own spot, even with the same email.
  • Protect the headcount. Prefer card at booking for popular classes, and use RSVP-or-drop for unpaid holds when you need a firm list.
  • Raise capacity when you can take more. Extra spots offer themselves to the waitlist in order.
  • Bill later when that fits. Unpaid class seats can sit on a client's balance so you can invoice them, including sending the invoice to a parent or guardian when that setting is on.

How Appty makes group class booking easy

On Appty, Groups live in your dashboard (on Basic and up). Each class gets capacity, a roster, a waitlist and its own public link, and upcoming classes also show on getappty.com/yourname beside your one-to-one services.

  • One link per class—and on your page. Share the class public link, or let clients browse upcoming groups on your appty link.
  • Capacity, roster and waitlist. Full classes turn into Join waitlist. Provider Add client uses the same rule when the class is full.
  • Payments that match how you teach. Card when they book, pay at venue, or both. E-transfer can book now and leave the amount owed until you mark it paid. Unpaid seats can be invoiced later, with the option to send invoices to a parent or guardian.
  • Waitlist that bumps automatically. When a spot frees, the next person is offered it; card offers get a pay link, and door or free seats can confirm straight away. Holds stay until pay/confirm or you remove them.
  • RSVP-or-drop for unpaid seats. Ask unpaid holders to confirm by your deadline; paid clients keep their seats. A 24-hour class reminder goes to confirmed seats when the timing fits.
  • You can book people in. Add a client from the roster and they get a confirmation or waitlist email with their manage link.
  • No login for clients. They open the link in a browser, claim a named spot and manage it from their email link—no app and no account.

Frequently asked questions

How do I take bookings for a group class online?
Create the class with a capacity and price, share its public link (or your booking page where upcoming classes appear), and let clients claim a named spot. When it is full they join a waitlist. On Appty this lives under Groups on Basic and up, with no client app required.
What happens when a group class is full?
New requests go on the waitlist instead of overbooking. If a spot opens or you raise capacity, the next person is offered the seat. Card payers get a link to pay; pay-at-venue and free spots can be booked straight away.
Can I add someone to a class myself?
Yes. On Appty, use Add client on the class roster. If the class is already full, they go on the waitlist the same way a public booking would. They get a confirmation or waitlist email with their link unless you leave the email empty.
Do clients need an app to book a group class?
No. They open your class link or booking page in any browser, enter who is attending, and confirm. No app and no login.
Are group classes included on the free Appty plan?
You can start free for your booking link and one-to-one sessions. Groups—capacity, roster and waitlist—are on Basic and up.
